What we collect
When you send a quote request through our website, we collect the details you enter: your name, company, email address, phone number, site location, the services you are interested in and anything you tell us about your project.
If you phone or email us, we keep the details you give us, notes of relevant telephone conversations, and any photographs, drawings or documents you send us. If you become a customer, we also keep the information needed to carry out and invoice the work, such as site contacts and billing details.
Sometimes we receive your details from someone else, for example when a customer, main contractor or colleague gives us your name and contact details as the site contact for a project. We use these only to arrange and carry out that work.
When you visit this website, our hosting provider automatically records technical information such as your IP address, browser type and the pages requested, to deliver the website and keep it secure.
How we use it
- To reply to your enquiry, arrange a site survey and prepare a quotation.
- To plan, carry out and follow up on work, including inspections, repairs and aftercare.
- To keep the business and accounting records the law requires.
- To deal with any questions, disputes or claims about our work.
We will not add you to a marketing mailing list without your permission, and we never sell your information.
Our lawful basis
Under UK data protection law we rely on the following, depending on the purpose:
- Legitimate interests: handling enquiries and projects with employees and other contacts at the businesses we work with, and managing our customer relationships.
- Contract: preparing a quotation for, or carrying out work for, an individual or sole trader who has asked us to.
- Legal obligation: keeping financial and tax records.
- Legitimate interests: keeping appropriate records so we can resolve disputes or defend legal claims.
- Consent: sending optional marketing, only if you have agreed to it. You can withdraw your consent at any time by contacting us.
Who we share it with
We share information only where it’s needed, and only for the purposes described above:
- Service providers that help us run the business, such as our website host (Vercel), website form service (Web3Forms), email and office software (Microsoft 365) and accounting software (Xero). They process information on our behalf to provide their service to us.
- People involved in delivering your project, such as suppliers, delivery companies, installation contractors and design engineers, so they can supply, deliver or carry out the work.
- Building control bodies, where we make a Building Regulations application on your behalf.
- Professional advisers, such as our accountants, insurers and legal advisers.
- Others where the law requires us to.
International transfers
Some of our service providers may process information outside the UK, for example in the United States. Where they do, the transfer is covered either by UK adequacy regulations or by contractual safeguards approved for UK transfers, such as the International Data Transfer Addendum issued by the ICO. You can contact us for details of the safeguards that apply.
How long we keep it
- Enquiries that do not lead to work: up to 2 years from our last meaningful contact, then deleted.
- Quotations, drawings, design information, inspection reports and project records: 6 years after the work is completed, so we can deal with any questions or claims. Where drawings and loading information are needed for the continued safe use, inspection or alteration of equipment we have installed, we may keep them for longer, for as long as they remain useful for that purpose.
- Financial and accounting records: 6 years from the end of the financial year they relate to, or longer where the law requires.
Your rights
Depending on the circumstances and how we use your information, you may have the following rights:
- to ask for a copy of the information we hold about you;
- to ask us to correct anything that is wrong;
- to ask us to delete your information, or to restrict how we use it;
- to object to us using your information based on our legitimate interests;
- to ask us to transfer information you gave us to another organisation, where we use it on the basis of consent or contract;
- to withdraw your consent at any time, where we rely on consent.
Some of these rights are not absolute. For example, we may need to keep certain information to meet our legal obligations.
To use any of these rights, contact us using any of the details above. We respond to requests without undue delay, normally within one calendar month. If the law allows additional time, we will explain why and tell you when to expect our response. We may need information to confirm your identity before providing personal information.
